Progress notes are detailed records of service delivery created by workers during or after a shift in the Vworker app. Each note is time-stamped, date-stamped, and name-stamped, providing a formal record of what happened during the shift. Once submitted, progress notes flow through to the client’s profile in VCore for office staff to review.

Where to find progress notes

Navigate to Clients → select the client → Notes tab. Progress notes appear alongside general notes in this tab, but are linked to a specific shift and worker. Notes submitted from the Vworker app also appear in the App Notes area (OperationsApp Notes), where office staff can triage and action them. The App Notes KPI tile on the Home Dashboard shows the count of unread notes.

Filtering and searching

Use the filters at the top of the Notes tab to locate specific progress notes:
  • Date range to narrow results to a specific period
  • Category to filter by note type
  • Worker to show notes from a particular worker
You can also use the Column Chooser to add or remove columns, and the search bar to find notes containing specific text.

Editing and deleting notes

Notes are editable, and Visualcare retains a full edit history so you can see what changed and when. Deleting a note is controlled by the Ability to delete note permission in User Group Security, under the Clients section. If your user group has this permission, open the Column Chooser on the notes table, drag in the Delete column, and use it to remove the note.

Why progress notes matter

Progress notes serve several purposes beyond day-to-day record keeping:
  • Audit readiness - NDIS and aged care auditors review progress notes to verify that services were delivered as planned
  • Clinical handover - office staff and incoming workers can review recent notes to understand the client’s current needs
  • Incident context - if an incident occurs, progress notes from surrounding shifts provide a timeline of events
  • Family and carer communication - notes give coordinators the detail they need when updating families or carers on service delivery
Encourage workers to add progress notes during the shift while details are fresh. Notes can be added until midnight on the day of the shift.
